Overview

The Office of the Registrar hosts several FERPA training modules and required quizzes for employees and courtesy appointees who need to gain access to student information systems to do their jobs.  Training is recommended for any employee or courtesy appointee who works with students.

  • Individuals should participate in the training relevant to their designated role.
  • If you are not an employee of OSU, please contact the Office of the Registrar for assistance.
  • To gain access to student information systems, including Canvas sections in which you are not a student, you must have a formalized role with the university.
  • If you have just joined the university as an employee, wait until you have the training tab in your MyOregonState employee tab before taking the training.

FERPA Training Modules

There are four training modules:

  1. FERPA Basics (for OSU employees who work with student data and don’t need one of the other trainings below)
  2. FERPA for Success Teams (for those assigned to students' success teams in Beaver Hub)
  3. Frontline FERPA (for those who staff frontline counters, phone lines, and office inboxes)
  4. FERPA in the Classroom (for professors, instructors, GTAs, or anyone who teaches students)

Student employees should complete the training(s) that align with their job duties and/or the FERPA Basics training.

Frequently Asked Questions

Complete the training that most closely aligns with your job duties. If your duties span multiple modules, we recommend completing all that apply. Each module should only take 15-20 minutes to complete. Still unsure, complete the FERPA Basics module.

Each module, which includes the training and the assessment quiz, is designed to take 15-20 minutes to complete, though it may take some people a bit longer. 

The Office of the Registrar strongly recommends that those who work with student data at OSU refresh their training every 2 years.
